How do I suppress dedup/FRBR in Primo VE for specific record groups?

Understanding Suppressing Dedup/FRBR:

Sometimes records are combined in Primo VE search results that you'd prefer weren't combined. You can turn FRBR and Dedup on and off for all records in your discovery view configuration, but you may sometimes want to only prevent FRBR or Dedup for certain titles. The "Prevent FRBR and/or Dedup in Discovery" job can be used to suppress Dedup and/or FRBR bib records in Primo VE. Suppressing Dedup/FRBR can be applied to:

  • Physical bib records:
    • IZ only
    • Network linked
  • Electronic bib records
    • Local
    • CZ linked
  • A combination of physical and electronic

Dedup creates a vector for all bib records by using the Duplication Detection algorithm using one or more keys from the metadata fields in the source record to identify them as duplicate records. The duplicate records will display as a single bib record in Primo VE, using the first record in the results set.

FRBR is used to group records based on the principles in the Functional Requirements for Bibliographic Records published by the International Federation of Library Associations and Institutions (IFLA). Keys are used to create vectors, which group the bib records based on metadata fields in the source record. FRBRerized records display in with "Multiple version exist. View all versions" or some variation if it has been customized by an institution. Suppressing FRBR will remove the bib records from the groups and display them individually in Primo VE search results.

Roles Required to Suppress Dedup/FRBR:

  1. User Administrator (to configure the Suppress Dedup/FRBR rule for location only)
  2. Cataloging Administrator or other administrator roles (run a job)


IMPORTANT: The Prevent FRBR and/or Dedup in Discovery" job run in the IZ will not impact Network Zone (NZ) linked records (NZ linked records include IZ records linked to the NZ and IZ records linked to the CZ). If you want the suppress Dedup/FRBR applied to your NZ linked records, the NZ linked records must also be Deduped/FRBRized in the NZ by the NZ Coordinator. Supress DeDup/FRBR can be done by:

  1. Location for IZ Only Bib Records
    • Physical titles
  2. Running the "Prevent FRBR and/or Dedup in Discovery" job on a set of records
    • Physical and electronic titles 


There are three steps to suppress Dedup/FRBR by location for IZ Only Bib Records:

Suppress/Dedup rules need to be created in the NZ if an institution wants to use this process with conditions other than location. Please contact the NZ Coordinator

  1. Create a Suppress Dedup/FRBR rule
  2. Create a set for the records
  3. Run the Prevent FRBR and/or Dedup in Discovery job in Alma on the set you created in step 2

 

1. Create a Suppress Dedup/FRBR Rule:

  1. Go to Configuration>Discovery>Other>Suppress Dedup/FRBR
  2. Click Add a Suppress Rule
  3. Define a Suppress Rule screen opens
    1. Code: [add a code, it’s mandatory]
    2. Name: [add a name, it’s mandatory]
    3. Description: [optional]
    4. Suppress: [click on the radio button for Dedup/FRBR]
    5. Click on Add a Condition
      1. Fields: Inventory: Location
      2. Operator: Equals
      3. Value: [location]
      4. Click Add
  1. Click Save

 

2. Create a Set

  1. Perform an advanced repository search for: Physical Titles: Holdings: Permanent Location: Equals: [select desired location]
  2. Click Search
  3. Click Save Query
  4. Set Details screen open
    1. Set Name: [name the set, it’s mandatory]
    2. Private: [No, if not shared. Yes, if share with other users]
    3. Private: Active
    4. Click Save

 

3. Run the Prevent FRBR and/or Dedup in Discovery job in Alma on the set you created in step 2

  1. Go to Admin>Manage Jobs and Sets>Run a job
  2. Search for the "Prevent FRBR and/or Dedup in Discovery" job
  3. Click on the radio button next to the job
  4. Click Next
  5. Click on the radio button next to the set you want to apply the job on
  6. Click Next
  7. Prevent FRBR in Discovery: Select "Yes"
    • Select "No" if you do not want to suppress FRBR while suppressing Dedup
  8. Prevent Dedup in Dicsovery: Select "Yes"
    • Select "No" if you do not want to suppress Dedup while suppressing FRBR
  9. Click Next
  10. Review the job
  11. Click Submit



Running the "Prevent FRBR and/or Dedup in Discovery" job on a set of records:

  1. Create a set on the bib records to be suppressed
  2. Create a sub-set of the set records that are linked to the NZ or CZ depending on resource type
    • Physical bibs linked to the NZ
    • Electronic portfolios linked to the CZ
  3. Run the "Prevent FRBR and/or Dedup in Discovery" job on a set of records
    1. Go to Admin>Manage Jobs and Sets>Run a job
    2. Search for the Prevent FRBR and/or Dedup in Discovery job
    3. Click on the radio button next to the job
    4. Click Next
    5. Click on the radio button next to the set you want to apply the job on
    6. Click Next
    7. Prevent FRBR in Discovery: Yes
    8. Prevent Dedup in Dicsovery: Yes
    9. Click Next
    10. Review the job
    11. Click Submit
  4. Email the set of NZ linked records to NZ Coordinator at info@sunyolis.libanswers.com
    • NZ Coordinator will run the "Prevent FRBR and/or Dedup in Discovery" job on the set of record
