How do I configure the Printout Queue function, and how does it work?

Alma gives you the option to send your printouts to a printouts queue that you can then access and sent print jobs to any of your networked printers. This FAQ covers how to configure and use the printouts queue feature.

Roles Needed

In order to use the Printouts Queue, you will need one of the following roles.

  • Printout Queue Manager - allows you to print all letters
  • Printout Queue Operator - allows you to print only the letters you have generated

 

Configuring a Printouts Queue

1. Go go Configuration and select the library where you would like to create a printouts queue from the dropdown in the upper left corner of the page.

2. Go to Fulfillment | General | Printers.

3. Click the Add Printer link, check the Printout Queue box, enter a Code and a Name for the printouts queue (leave the Email field empty), and then click the Add Printer button.

4. Go to Fulfillment | Library Management | Circulation Desks.

5. Click the ellipsis next to the circulation desk that will use the printouts queue and then click Edit.

6. Scroll down to the Printing Information section of the General Details tab, click on the Default Printer dropdown, select the printouts queue you created, and then click the Save button. If you would prefer your printouts queue to be an Additional Printer, click on that dropdown, select the printouts queue you created, and then click the Save button.

Printing From a Printouts Queue

1.  After you've preformed actions that generate letters that needs to be printed, go to Admin | Printouts Queue.

2. By default, the printouts queue will show all letters you have generated that have yet to be printed. You can use the filters to change which letters are displayed in the printouts queue.

All: select all letters (All) or just a specific letter (name of letter)

Printed By: select letters printed by you (Me) or letters printed by everyone (All)

Status: select letters that have yet to be printed (Pending), letters that were already printed (Printed), or letters that were cancelled (Cancelled)

3. Once you have used the filters to show the letters you wish to print, check the select all box and then click the Print Selected Link.  You can also check the box next to a specific letter and then click the Print Selected link.  You will then be able to print the selected letters directly from your browser as you would any other document.
