How do I move an active POL to a new Serial title and retain the item records on the previous serial title?

Handling Serial Title Changes

This workflow is for campuses that want to move the current POL for a serial to the new bib record when there is a title change. Best practice is to treat these titles like Standing Order titles. You will need to only add a holdings record, and not items as well, as these will be received under Acquisitions>Receiving and Invoicing>Receiving.

Add the New Title bib record:

  1. Perform an All Titles search in the NZ for the new serials title. If the bib record is not in the NZ, export it from OCLC.
  2. Click Edit Record from the new serial title in the NZ

  1. Click the Add Holdings icon (Ctrl+Alt+H)
  2. Click in the 852 field
  3. Edit the 852 (type directly in the filed or open the form editor Tools>Open Form Editor Ctrl+F)
    1. $a Location: (optional)
    2. $b Sublocation or Collection: [select the library]
    3. $c shelving location: [select the shelving location]
    4. Click Save
      1. The call number populates depending on indicator 1 or the location classification

  1. Click File>Save and Release Record (Ctrl+Alt+R) to close the holdings record
  2. Click File Save and Release Record (Ctrl+Alt+R) to close the bib records
    1. Click No if the "Matched record/s exist in the catalog, do you want to view them before saving" message pops up
  3. Click Back
  4. The NZ record is now linked to the IZ and the institution's holdings displays in the NZ


Move the Order

  1. Click on the Institution tab
  2. Click the Order # link on the previous serial title

  1. Click Edit from the POL
  2. Click Change Bib Reference
  3. Click Confirm when the Confirmation pop-up message appears
  4. Change the title/ISBN in the repository search if necessary
    1. Click the search icon or hit enter
  5. Click on the new serial title that you want the POL bib reference changed to

     8. The POL is now associated with the new serial title and the items remain on the previous serial title
