How do I delete item records for items that are not in our library collection?

Answer

These workflows can be used for items that were migrated and not are not in the library collection. The do no exist and are part of a post-migration clean up project. The following workflows are not in compliance with MSP-50. 

 

Deleting an individual item record:

  1. Perform a Physical Items search 
  2. Click Withdraw from the ellipses of the item record being deleted
  3. Click Confirm when the confirmation message appears

 

Deleting multiple item records at one time:

  1. Click Items from the ellipses from a physical titles repository search
  2. Click in the check boxes next to the items being deleted or the top box to select all items on the visible page
  3. Click Withdraw items                                                                                                                                                                                                                                                                                                               
  4. Click Confirm when the confirmation message appears                                                                                 
  5. Click Back (or < List of Items)                                                                                                                          

 

 

Deleting the last item record on a holding:

  1. Click Items from the ellipses from a physical titles repository search
  2. Click Withdraw from the ellipses 
  3. Click Confirm when the confirmation message appears 
  4. Select "Delete bibliographic record (unless other holdings present)"
  5. Click Go                                                                                                                                                            
  6. Click Back or (< List of Items)                                                                                                                          

 

Deleting item records from a set of records:

  1. Create a Physical Items set from a Physical Items repository search for item records to be deleted 
  2. Review the set
  3. Run the "Withdraw Items" job on the set of barcodes
    1. Go to Admin>Manage Jobs and Sets
    2. Search by Name: Withdraw Items                                                                                                         
    3. Click on the radio button next to the Withdraw Items job
    4. Click Next                                                                                                                                              
    5. Click on the radio button next to the set the items records will be deleted
    6. Click Next                                                                                                                                             
    7. Select the Parameters for the job
      1. How to handle holdings without items and bibliographic records: Select Delete holdings, delete bibliographic records that have no other holdings
      2. Check the boxes next to other parameters for records with certain certain where the item record(s) should not be deleted
    8. Click Next                                                                                                                                              
    9. Review the job
    10. Click Submit                                                                                                                                      
    11. Click Confirm when the confirmation message appears                                                                     

 

 

Deleting items records from an Excel or .csv file:

  1. Create a Excel or .csv file of barcodes to be deleted
  2. Create an itemized set in Alma for Physical Items
  3. Review the set
  4. Run the "Withdraw Items" job on itemized set
    1. Go to Admin>Manage Jobs and Sets
    2. Search by Name: Withdraw Items
    3. Click on the radio button next to the Withdraw Items job
    4. Click Next                                                                                                                                             
    5. Click on the radio button next to the set the items records will be deleted
    6. Click Next                                                                                                                                            
    7. Select the Parameters for the job
