How do I identify and unlink personal copy course reserves from the Network Zone (NZ)?

Answer

Overview:

  1. Identify Course Reserves Linked to the NZ
  2. Create a Set
  3. Review the Set
  4. Unlink the Records Using a Job or Unlink them Individually
  5. Report the NZ records to be deleted [optional]

 

Steps:

  1. Perform an advanced repository search: Physical Titles> Holdings: Permanent Physical Location> = [course course reserves location(s)] AND Title> Is Linked> = Yes
  2. Click Search
  3. Click Save Query from the repository search results
  4. The Set Details screen opens
    • Set Name: [Name the set - Mandatory]
    • Description: [Optional]
    • Private: [Change to No is being shared]
    • Active: Yes
  5. Click Save   
  6. Go to Admin>Manage Sets and Jobs>Manage Sets 
  7. Click Results from the set's ellipses
  8. Review the set to make sure it contains only personal copies and that none of the titles belong to the library's collection
    • If the set is a mix of personal copies and permanent copies, either manually remove the permanent copies from the results list, or export the set of records to Excel to edit and create an itemized set of the new list
  9. Unlink Records Using a Job:
    • Go to Admin>Manage Jobs and Sets>Run a Job
    • Search for the "Unlink a set of records from the Network" job 
    • Click on the radio button next to the "Unlink a set of records from the Network" job and click Next
    • Click on the radio button next to the course reserve set to be unlinked and click Next
    • Review the set parameters
    • Click Submit
  10. To Individually Unlink a Record from the NZ:
    • Open the Course Reserve Title to be unlinked in the MD Editor
    • Click Record Actions>Copy to Catalog
      • The 4-digits at the end of the MMS ID will change from 4801 to the library's 4-digit identifier
      • Local icon will display instead of the NZ icon
    • Click Save>Save and Release Record​​​​​​​
  11. If the personal copies have no other holding libraries in the NZ, you are welcome to submit a ticket to SLS to ask to have them removed, or they'll be caught and removed during regular NZ maintenance
