How do I keep my resource sharing request lists clean?

Answer

There are two ways to keep your borrowing and lending resource sharing requests lists clean.  The first is to turn on the Resource Sharing Completed Request Cleanup job.  Unfortunately, that job can only clean up requests in the following statuses:

  • Borrowing: Cancelled By Patron, Cancelled By Partner, Cancelled By Staff, Expired, Rejected By Partner, Request Completed
  • Lending: Rejected the Borrower Request, Request Completed

If you need to clean up requests in any other status, you will need to clean them up manually.

 

Turning On the Resource Sharing Completed Request Cleanup Job

1. Go to Configuration | Fulfillment | General | Fulfillment Jobs Configuration.

 

2. Scroll down to the Resource Sharing Completed Request Cleanup Job (it's the second to last job in the list), change the Status setting to Active, select Both from the Request Type dropdown, indicate the number of days before a completed request should be cleaned up in the Days Since Request Completion field, select all Borrowing and Lending statuses in the Completed Requests Statuses dropdown, select Every Monday at 01:00 from the Schedule dropdown, and then click the Save button.

Note: We recommend you enter a Days Since Request Completion value of at least 3 days. 

 

Manually Cleaning Up Resource Sharing Requests

If you are manually cleaning up resource sharing requests, you'll need to either use the Remove Requests feature, or you'll need to manually change the request status to Request Completed.  Which process you'll need to use will depend on the request status.

Use the Remove Requests Feature:

  • Borrowing: Cancelled by Patron, Cancelled by Staff
  • Lending: Cancelled

Manually Change Status to Request Completed:

  • Lending: Expired

Using the Remove Requests Feature

1. Check the Facet for the request status you would like to clean up and then click the Apply button.  The request list will them be limited to just requests in that status.

 

2. Check the Select All box, click the Actions link, and then click the Remove Requests link.  A Confirmation Message window will appear.

 

3. Click the Remove button. The selected requests will be removed from your request list.  You will need to repeat this process if the number of requests you wish to clean up spills over onto a second page in your request page (checking the Select All box only selects requests on the current page).

 

Manually Changing Requests to Request Completed

1. Click the Facet for the request status you would like to clean up and then click the Apply button.  The request list will them be limited to just requests in that status.

 

2. Check the Select All box, click the Actions link, click the Change Status link, select Request Completed from the Change Status dropdown, and then click the Change Status button.  The selected requests will be removed from your request list.  You will need to repeat this process if the number of requests you wish to clean up spills over onto a second page in your request page (checking the Select All box only selects requests on the current page).
